We have been analyzing the NCR Retail Online (NRO) business and our NCR Industry Solutions Board, an internal team that helps set strategy, has decided to set the NRO product to End of Life on March 31, 2018 . The CPOnline Product was also recently announced with an end of life date of September 30th, 2017 . The End of Life terms indicate that all current customers will need to be transitioned off their respective product and the servers turned off by 9/30/17 (CPO) & 3/31/18 (NRO) . Your NCR Counterpoint business partner has been notified of this decision in advance and has started taking steps to help you transition your eCommerce solution.

Data Backup Best Practices Before Decommissioning NCR Retail OnlineDecommissioning an ecommerce platform is more than downloading a product list and closing an account. NCR Retail Online connected storefront activity with inventory, orders, customer records, and business management workflows, so its retirement can affect daily operations long after the final transaction is processed. A controlled backup preserves the information needed for migration, audits, customer service, and historical reporting. The announcement that NCR Retail Online was discontinued made transition planning essential for affected merchants. Businesses moving to Magento, WooCommerce, or another platform through an NCR Counterpoint partner should treat the process as a data preservation project first and a technology replacement project second. A reliable archive should be complete, readable, secure, and independently verified. It should also distinguish between information required to operate the new store and records that need to be retained only for legal, financial, or operational reference. Define the records that must surviveBegin with a data inventory before exporting anything. Core ecommerce records usually include products, SKUs, variants, prices, tax classes, categories, descriptions, images, inventory quantities, customer profiles, orders, refunds, payments, shipping details, coupons, and gift cards. Include inactive products and historical orders if they support reporting, returns, warranty claims, or tax documentation. Operational data can be easier to overlook. Capture user accounts, staff permissions, warehouse settings, shipping rules, tax configurations, payment settings, email templates, webhooks, API credentials, and integration mappings. Do not place active passwords or secret keys into a general archive. Record where those credentials were used, then rotate or revoke them during the shutdown process. Preserve the storefront’s content separately from transactional data. Pages, navigation, redirects, blog posts, product media, downloadable files, and SEO metadata may not appear in a standard order or catalog export. An audit of catalog content can help identify customer-facing category structures and merchandising details that need to be recreated or archived. Create a complete export from every connected systemA platform export is only one layer of protection. NCR Retail Online may have exchanged information with NCR Counterpoint, payment gateways, shipping providers, accounting applications, email tools, marketplaces, analytics services, and fulfillment systems. Request or generate exports from each connected service, because the ecommerce database may contain only an identifier or synchronization status rather than the full external record. Use native exports where possible, then supplement them with structured files such as CSV, JSON, XML, and SQL database dumps. Save original images and documents in their native formats instead of relying on compressed thumbnails. If the platform provides an API, use it to retrieve fields that are missing from administrative downloads, while respecting rate limits and access controls. Keep an export log that records the source, date, user, format, filters, and approximate record count. Document whether timestamps are stored in local time or UTC, how currency is represented, and whether deleted or archived records are included. These details make the archive understandable months or years later. Preserve relationships, history, and business meaningA product file without SKU relationships may be insufficient for a migration. Record parent-child links for variants, bundle components, related products, category paths, image associations, and inventory locations. Likewise, customer and order exports should retain stable identifiers so that a migration team can connect an order to its line items, payment status, shipment, refund, and customer profile. Historical states deserve special attention. A current product price cannot explain an old order total, and a present-day customer address should not replace the address used for a past shipment. Preserve order snapshots, tax amounts, discounts, shipping charges, fulfillment events, refund transactions, and status changes where available. The difference between an operational migration and a historical archive is important. A new Magento or WooCommerce store may need active products and current customers, while accounting or legal teams may need several years of completed orders. Separating those purposes reduces unnecessary personal-data transfers and helps the replacement platform stay clean.
Verify backups before shutting down accessNever assume that a file exists merely because an export job reported success. Open the files, inspect encoding, test decompression, and confirm that expected columns and relationships are present. Compare record totals with platform reports and investigate differences caused by filters, pagination, duplicate records, or failed API requests. Use sampling for detailed validation. Select orders from different years, payment types, shipping methods, and statuses. Confirm that their line items, customer references, totals, taxes, refunds, and shipment information remain intact. For the catalog, inspect representative products with variants, multiple images, long descriptions, sale prices, and discontinued status. A strong backup has multiple copies in separate locations. Keep one encrypted working copy for migration, one restricted archival copy for retention, and one additional copy in a different storage environment. Apply access controls based on job responsibilities, and record who can restore or download sensitive information. Test restoration before decommissioning. Load a copy into a sandbox, database viewer, or migration staging environment and verify that the information is usable. A backup that cannot be opened, decoded, or mapped to a replacement system is an expensive false assurance. Protect personal and payment informationCustomer data requires a stricter process than public product content. Identify names, addresses, telephone numbers, email addresses, account credentials, order histories, loyalty details, and marketing preferences. Encrypt archives both in transit and at rest, use multifactor authentication for storage accounts, and avoid sending unprotected exports through email or consumer file-sharing services. Payment information needs special handling. Do not retain full card numbers, security codes, or authentication secrets unless a qualified compliance process explicitly permits it. In many cases, the ecommerce platform stores tokens while the payment provider retains the sensitive card data. Document token relationships and provider references without copying prohibited payment details into the archive. Set a retention schedule before the old system disappears. Financial and tax records may have different retention requirements from marketing profiles or abandoned carts. Mark each dataset with an owner, purpose, retention period, and deletion date. Once the approved period ends, delete obsolete personal data securely and preserve only the minimum evidence required. Coordinate the migration and final shutdownChoose a final transaction date and communicate it to staff, customers, vendors, and the migration partner. Establish a read-only period if the platform permits it, or temporarily pause catalog and order changes while the final export is created. A data freeze prevents orders, inventory adjustments, and customer updates from falling between the backup and the new store. Before the last export, reconcile inventory with NCR Counterpoint, the warehouse, and physical stock where appropriate. Review open orders, pending refunds, unfulfilled shipments, gift cards, subscriptions, returns, and customer service cases. These active obligations often matter more than a clean migration of inactive catalog records. Use a transition checklist for integrations. Redirect domains only after the replacement storefront is tested, preserve important URL mappings, and disable automated jobs that could continue writing to the retired system. Keep the old environment in restricted read-only form for an agreed period if contracts and security policy allow it, then revoke administrator access and obtain written confirmation of data deletion from hosting or service providers. Practical controls for a safer archive
Use the archive to support the replacement platformA backup should serve the future business, not simply preserve a pile of files. Map old fields to the replacement platform before importing data. For example, compare the inventory model and synchronization rules when evaluating NCR Retail Online and Magento, especially where product identifiers, stock locations, and order statuses may behave differently. Run the migration in stages. Start with a development environment, import a representative sample, and test checkout, tax calculation, shipping, inventory deduction, refunds, customer access, confirmation emails, and reporting. Then repeat the process with the full dataset while monitoring duplicate SKUs, missing images, invalid addresses, and altered price precision. Keep the original archive separate from the transformed migration files. Migration tools may rename fields, convert dates, resize images, or discard unsupported settings. Retaining the untouched source export gives the business a dependable reference if a mapping decision proves incorrect or a historical record must be reconstructed. Complete the transition by obtaining sign-off from operations, finance, customer service, security, and management. Confirm that the new store is receiving orders correctly, inventory is synchronizing, staff can find historical information, and required records are accessible without reopening the retired platform. Start the decommissioning process with a documented export scope, an independent backup location, and a restoration test. Engage an NCR Counterpoint partner or qualified migration specialist to validate the final data set, complete the cutover, and retain the evidence needed for future operations and compliance. |
