We have been analyzing the NCR Retail Online (NRO) business and our NCR Industry Solutions Board, an internal team that helps set strategy, has decided to set the NRO product to End of Life on March 31, 2018 . The CPOnline Product was also recently announced with an end of life date of September 30th, 2017 . The End of Life terms indicate that all current customers will need to be transitioned off their respective product and the servers turned off by 9/30/17 (CPO) & 3/31/18 (NRO) . Your NCR Counterpoint business partner has been notified of this decision in advance and has started taking steps to help you transition your eCommerce solution.

Configuring Order Status Notifications After NCR Retail OnlineWhen an NCR Retail Online workflow is retired, order notifications need to be rebuilt rather than simply switched back on. The replacement platform must know when an order is received, paid, packed, shipped, delayed, collected or cancelled, and it must communicate those changes consistently across the store, staff systems and customers. For Australian retailers, this transition often involves moving to Magento or WooCommerce with support from an NCR Counterpoint partner. The technical task is broader than choosing email templates. It includes mapping order states, connecting inventory data, checking tax and delivery information, and deciding which messages should be sent automatically or reviewed by staff. A reliable notification system gives customers clear expectations without exposing internal errors or sending duplicate updates. It also helps a retailer manage different fulfilment models, such as home delivery in Melbourne, click and collect in Brisbane, or shipping bulky products from a regional warehouse to customers in Perth or Hobart. Map The New Order LifecycleBegin by documenting the complete order journey in the replacement ecommerce platform. A typical sequence may include “pending payment”, “processing”, “awaiting stock”, “ready for collection”, “shipped”, “completed” and “cancelled”. These labels should reflect actual operational events rather than vague administrative stages. The old NCR workflow may have combined several steps into one status. For example, an order could have been marked as processing immediately after checkout even when payment still required verification. Magento and WooCommerce may separate these events differently, so create a translation map before importing historical orders or connecting live sales. Include the points where Counterpoint or another retail management system changes the order. A warehouse scan, payment approval, stock adjustment or dispatch confirmation should trigger a predictable status update. If the inventory platform says an item is unavailable but the storefront still shows it as ready to ship, the notification process will create confusion and unnecessary support requests. Australian delivery conditions make this mapping especially important. A parcel sent from Sydney to Darwin may need a longer handling window than a local order, while a customer collecting from a suburban store expects a message only after staff have physically located and reserved the goods. Build these differences into fulfilment rules instead of asking customers to interpret generic updates. Connect Events To Customer MessagesOnce statuses are mapped, assign a message to each customer-facing event. The confirmation email should acknowledge the order and provide a reference number. A payment message should explain whether funds were authorised or whether further action is needed. Dispatch notifications should include the carrier, tracking number and an estimated delivery range where available. Avoid sending an email for every internal change. “Picking”, “inventory checked” and “label printed” may be useful for staff but can overwhelm customers. A concise message when an order is delayed is generally more valuable than a stream of operational updates that do not change the expected delivery outcome. Templates should draw their information from live order fields, including the customer’s name, collection location, delivery address, product lines, shipping method and support contact. Use plain Australian English and show dates in a format that customers recognise. If a retailer sells household products, a well-organised content category such as dining and entertaining can also be referenced in post-purchase recommendations, provided those recommendations do not distract from the delivery information. Keep transactional and promotional content separate. An order receipt is an essential service message, while a suggestion for related products is marketing. Separating the two makes templates easier to test and supports compliance with the Australian Spam Act, which generally requires consent for commercial electronic messages and includes rules about identification and unsubscribe facilities. Configure Magento Or WooCommerce RulesIn Magento, notification behaviour can be configured around sales emails, order states, shipment creation, invoices and credit memos. Check the settings for the correct sender identity, store view, email copy recipients and template assignment. A multi-store retailer should verify that each Australian storefront uses the right trading name, phone number, currency and warehouse details. WooCommerce commonly uses email notifications linked to events such as new order, processing order, completed order, refunded order and customer note. Extensions can add shipment tracking, SMS alerts, partial fulfilment and collection messages. Select extensions that are actively maintained and compatible with the current WordPress, WooCommerce and payment environments rather than installing several tools that perform overlapping functions. The platform must receive trustworthy events from the connected retail system. If Counterpoint partners provide an integration, ask how it handles partial shipments, refunds, exchanges, backorders and orders edited after payment. An integration that only synchronises completed orders may leave customers without updates during the most important part of the process. For products with varied household uses, accurate catalogue data matters as much as the email design. A category covering everyday dishes may contain products with different stock locations, delivery restrictions or packing requirements. Status logic should be based on the actual fulfilment record, not simply on the category or product name. Protect Personal Data And Delivery DetailsOrder messages contain names, addresses, phone numbers, product information and sometimes payment references. Send them through a verified business domain with SPF, DKIM and DMARC configured. These controls improve delivery rates and reduce the likelihood that customers mistake a genuine dispatch email for a phishing message. Do not place full payment card details, unnecessary internal notes or staff comments in a customer email. Tracking links should use secure HTTPS addresses, and account links should take customers to the official domain. If SMS notifications are enabled, keep the message short and avoid exposing sensitive order information on a lock screen. Australian privacy obligations should be considered during the migration. The Privacy Act and the Australian Privacy Principles require businesses to handle personal information responsibly, while the Notifiable Data Breaches scheme makes security incidents a serious operational concern. Review which systems store notification logs, who can access them and how long records are retained. Consent and preference management also need careful treatment. A customer may agree to receive an order update without agreeing to promotional messages. Give staff a way to resend an essential transactional message without automatically enrolling the customer in marketing communications. Test The Workflow Before Going LiveCreate test orders that represent normal and exceptional scenarios. Include a successful card payment, a declined payment, an item going out of stock, a split shipment, a refund, a store collection and a cancelled order. Confirm that each event changes the order status correctly and produces only the intended notification. Test on mobile devices because many Australian shoppers read delivery updates while commuting, working remotely or collecting an order between errands. Check the appearance of buttons, tracking links, collection instructions and support details on common email applications. Make sure the message remains understandable if images are blocked. Run deliverability tests using the actual sending domain and monitor bounce, spam complaint and open-rate data after launch. An order email that is technically generated but never reaches the customer is still a failed workflow. Set alerts for sudden increases in failed messages or synchronisation errors between the storefront and inventory system. Operational Checks For A Stable Notification System
Document the final configuration in a short operational runbook. Include status definitions, integration dependencies, template names, escalation contacts and instructions for pausing a faulty notification. This gives store staff and support teams a dependable reference when a platform update or carrier change affects the workflow. A post-NCR workflow should be treated as a living process rather than a one-time migration task. Review notification performance after the first few weeks, compare customer enquiries with the messages they receive, and adjust unclear wording or missing events. The practical standard is simple: every order should have one reliable path from payment to fulfilment, with a timely and accurate message at each customer-relevant milestone. |
