We have been analyzing the NCR Retail Online (NRO) business and our NCR Industry Solutions Board, an internal team that helps set strategy, has decided to set the NRO product to End of Life on March 31, 2018 . The CPOnline Product was also recently announced with an end of life date of September 30th, 2017 . The End of Life terms indicate that all current customers will need to be transitioned off their respective product and the servers turned off by 9/30/17 (CPO) & 3/31/18 (NRO) . Your NCR Counterpoint business partner has been notified of this decision in advance and has started taking steps to help you transition your eCommerce solution.

Importing NCR Payment Plans into Magento Installments

Moving from NCR Retail Online to Magento requires more than exporting products and customer accounts. Payment-plan records carry financial meaning: original order values, deposit amounts, instalment schedules, refunds, outstanding balances and transaction references all need to remain accurate.

Magento can support instalment payments through compatible gateways and extensions, but it does not automatically understand every payment-plan format used by NCR or its connected systems. A controlled migration therefore involves data discovery, field mapping, secure transformation and reconciliation before customers are invited to use the new storefront.

Migration area NCR source data Magento destination Main control
Customer identity Customer ID, email, address Customer account or guest-order reference Deduplicate records
Order details Order number, date, currency, items Magento order and invoice data Preserve the original reference
Payment plan Provider, term, schedule, status Gateway or instalment extension Map statuses carefully
Transactions Authorisation, capture, refund IDs Payment and transaction fields Keep provider references
Balances Paid, due, refunded, outstanding Extension ledger or external system Reconcile to the cent
Compliance data Consent and communication history Approved CRM or consent store Minimise retained data

Identify What NCR Actually Stores

Start with a read-only export from NCR Retail Online, NCR Counterpoint, the payment gateway and any separate finance system. Payment-plan information may not exist in one file. An order export could contain a plan identifier while the schedule, settled instalments and failed payments remain in gateway reports.

Create a source inventory before building an import script. Record the file name, column meaning, date range, currency, timezone, unique identifiers and whether each value is authoritative. In Australia, check whether amounts are GST-inclusive and whether dates were recorded in Australian Eastern, Central or Western time. A midnight conversion can place a payment on the wrong reporting day.

Do not assume that a “paid” order has a fully settled instalment plan. Separate order status from payment status, and distinguish authorised, captured, partially refunded, cancelled, failed and chargeback transactions. This distinction matters when customers have purchased higher-value goods in Sydney or Melbourne using a plan that remains active after the order has shipped.

Define Magento’s Instalment Model

Magento is the commerce engine, while instalments are generally handled by a payment provider, extension or connected subscription service. First choose the target arrangement: a buy-now-pay-later provider, a card-based scheduled plan, an invoice arrangement or an external finance platform. The destination model determines which fields can be imported safely.

A typical mapping includes the Magento order increment ID, the legacy NCR order number, provider name, provider customer token, plan reference, instalment count, amount, currency, next due date and current status. Store the NCR reference in a dedicated order attribute or integration table rather than forcing it into a standard Magento payment field.

Avoid importing full card numbers, security codes or unneeded bank details. In most cases, the new platform cannot legally or technically reuse stored payment credentials without token portability from the original provider. Import financial references and status history, then require a secure payment-method reauthorisation where the gateway demands it.

Prepare a Clean Migration File

A practical import file should have one row per instalment, linked to a stable order or plan key. Useful columns include legacy_order_id, magento_order_id, plan_id, instalment_number, scheduled_date, processed_date, amount, currency, status, transaction_id and refund_amount. Keep the source value alongside the transformed value during testing so mismatches can be traced.

Normalise dates to ISO format, decimal amounts to two places and currency values to AUD where appropriate. Resolve duplicate emails, cancelled plans and orders with multiple payment attempts before loading anything. For Australian merchants, account for public holidays and provider settlement timing around weekends, EOFY processing and the Christmas trading period.

If the old system describes plans with labels such as “open,” “complete” or “arrears,” create an explicit status dictionary. For example, “open” may mean future instalments remain, while “complete” could mean the order is fulfilled rather than financially paid. Business and finance teams should approve this dictionary before development begins.

Build a Safe Import Process

Use a staging database or Magento test environment rather than writing directly to production. The process should validate required identifiers, reject invalid currencies, detect duplicate transaction references and log every accepted or skipped row. A dry run can show how many plans will be created, updated or left for manual review.

Where possible, use Magento APIs or an extension-supported import method instead of direct database writes. Direct SQL changes can bypass indexing, event handling and payment-module rules. A custom integration may create a legacy payment record and a separate instalment ledger, while the gateway remains responsible for future charging.

A useful operational aid is a migration runbook covering backups, credentials, file hashes, import order, rollback steps and named approvals. Teams documenting the process with recorded demonstrations can use video transcripts to turn training material into searchable instructions, provided sensitive payment data is excluded from the recording.

Connect the Payment Provider Correctly

The provider must confirm whether historical plans can be transferred to a new merchant account, website domain or Magento integration. Some instalment services allow only new plans to be created, while others support a controlled customer migration using tokens and provider-issued references. If transfer is unavailable, do not imitate an active plan inside Magento.

In that situation, preserve the original plan in a secure legacy ledger and import a read-only summary into the Magento customer or order record. Future payments should continue through the authorised NCR-era or provider-managed process until the plan expires, is refinanced or is recreated with fresh customer consent.

For Australian operations, verify surcharge presentation, GST treatment and customer disclosures for providers such as Afterpay or other pay-over-time services. The storefront, order confirmation and refund process should describe who is providing credit or deferred payment. Payment pages must also remain within the provider’s PCI-compliant design and tokenisation model.

Reconcile Orders, Refunds and Balances

After the first test import, compare totals at several levels: number of plans, total principal, captured value, refunded value, outstanding balance and amount due in each future period. Compare Magento results with NCR exports and gateway settlement reports, not merely with the number of rows inserted.

Test realistic scenarios: a completed plan, a failed instalment, a partial refund, a cancelled order, an exchanged product and a plan with a disputed transaction. Confirm that a refund in Magento does not accidentally trigger a second refund at the provider. Confirm too that an unpaid instalment is visible to customer-service staff without changing the physical fulfilment status.

Keep reconciliation reports with timestamps and file versions. A retailer selling drinkware or hospitality products may have thousands of modest transactions, while a furniture or electronics merchant may have fewer but much larger plans. The validation thresholds should reflect the business’s transaction profile rather than relying on a single generic tolerance.

Protect Customer History During the Changeover

Customers need continuity in order history, receipts and support conversations, but they do not need every legacy data field exposed in Magento. Import only what staff and customers require, such as order reference, plan state, payment dates and remaining balance. Retain sensitive source files in restricted storage with a defined deletion schedule.

Review privacy notices, consent records and access roles before launch. Staff in Brisbane, Perth and other Australian locations should see the same financial truth, while warehouse users may need only fulfilment information. Log administrative access to plan records and encrypt exports both in transit and at rest.

A broader migration checklist should cover catalogue content, redirects, customer passwords and integration dependencies. The guidance on moving to WooCommerce is also useful for understanding the wider NCR Retail Online transition, even when Magento is the chosen destination. Product content can be audited separately, including music product data or retail categories such as drinkware collections.

Run the Cutover in Controlled Stages

Use a pilot containing representative customers, orders and plan statuses before the full migration. Freeze changes in the source for the agreed cutover window, take a final export, rerun validation and import only the delta since the pilot. Keep the NCR environment or its read-only archive available while active plans are being monitored.

Customer service should receive a clear lookup method for NCR order numbers, Magento order IDs and provider references. Prepare scripts for common cases such as “my next payment is missing,” “I returned one item” and “my account shows an old balance.” If the catalogue includes alcohol-related goods, separate content such as beer product information from payment-plan logic and apply Australian age-verification and delivery rules independently.

The final sign-off should come from ecommerce, finance, customer service and the payment provider. A successful import is one where every balance reconciles, no sensitive payment credential has been copied improperly, refunds behave correctly and staff can explain the history behind each migrated plan. In practice, preserve NCR references, import verified financial history, let the new gateway control future charges and reconcile every cent before Magento becomes the system of record.

After you have completed your move to a new eCommerce platform, don’t forget to submit the Store Closure Request form to close your NRO site and cancel your billing subscription.
