We have been analyzing the NCR Retail Online (NRO) business and our NCR Industry Solutions Board, an internal team that helps set strategy, has decided to set the NRO product to End of Life on March 31, 2018 . The CPOnline Product was also recently announced with an end of life date of September 30th, 2017 . The End of Life terms indicate that all current customers will need to be transitioned off their respective product and the servers turned off by 9/30/17 (CPO) & 3/31/18 (NRO) . Your NCR Counterpoint business partner has been notified of this decision in advance and has started taking steps to help you transition your eCommerce solution.

Managing Serialized Inventory Across Counterpoint And WooCommerce

Serialized inventory gives every sellable unit its own identity. A retailer can record the serial number, supplier, warranty status, sale date and customer attached to a specific item, rather than treating ten identical products as one anonymous quantity. This matters for electronics, bicycles, musical instruments, appliances, tools and other goods where each unit has a different service history.

Counterpoint can manage detailed stock records in the retail back office, while WooCommerce provides the online storefront and checkout. The commercial challenge is keeping both systems aligned when a unit is sold in a shop, reserved online, returned, exchanged or transferred between locations.

NCR Retail Online has been discontinued, so businesses using that former product need a practical path forward. Many retailers are moving to WooCommerce or Magento through NCR Counterpoint partners, with careful attention to integration, testing and data ownership. A reliable process is especially valuable in Australia, where GST, interstate freight and dispersed customer locations can complicate fulfilment.

Why Serialized Stock Needs Special Handling

A standard quantity sync might say that a product has six units available. Serialized control needs to identify which six units exist and whether each one is available, reserved, in transit, sold, returned or undergoing repair. Sending only a numerical quantity to WooCommerce can create an online sale for a unit that has already left the store.

Counterpoint should generally remain the authoritative source for serial records, purchasing, receiving, stock adjustments and customer sales history. WooCommerce can display availability and capture online orders, but the integration needs to pass a particular serial number or a controlled allocation instruction back to Counterpoint. The exact approach depends on the connector and the retailer’s operating model.

Australian retailers also need to account for GST-inclusive online prices, tax invoices and local warranty obligations. A camera sold in Melbourne may be returned from Perth, while the replacement unit could be shipped from Brisbane. The stock record must follow the physical item, not just the original order location.

Configure Counterpoint Before Connecting

Begin with a clean item master. Decide which products require serial tracking, establish consistent SKUs, and define whether serial numbers are entered during receiving, sale, dispatch or more than one stage. Use a single format for manufacturer numbers, and preserve leading zeroes because a serial such as 004781 is different from 4781.

Receiving is the first important control point. Staff should scan or enter each serial number, compare it with the supplier paperwork and record condition or accessories where relevant. For high-value stock, a second check can prevent a typo from creating a false duplicate. Clear statuses such as Available, Held, Sold, Returned and Repair can make later reconciliation much easier.

Before migration, remove duplicate items and resolve negative quantities or unassigned serials. Export a backup of item records, serial details, locations, costs and customer references. A Counterpoint partner can help map legacy fields without forcing the business to discard useful warranty or service information.

Map WooCommerce To The Retail Workflow

WooCommerce should receive accurate product names, images, prices, tax settings and available quantities. For serialized goods, the order workflow needs extra data. This might be a serial number selected at checkout, a serial number assigned during fulfilment, or an internal fulfilment queue that prevents the web order from being released until Counterpoint confirms the unit.

Avoid exposing serial numbers publicly unless there is a clear business reason. They can be treated as private fulfilment data and added to the order, packing slip or invoice after allocation. Customers usually need confidence that the item is genuine and covered by warranty; they do not need to see an entire serial database.

Bundles require particular care. An online gift hamper, for example, may contain several separately tracked products, while the hamper itself is sold as one WooCommerce line. A retailer offering seasonal hampers can use gift basket ideas as a reminder that component stock and finished-set stock need separate rules. If the bundle includes a serialized appliance, that unit must remain traceable after packing.

Test Orders Before Going Live

Testing should cover the complete movement of a unit. Create a test item in Counterpoint, receive it with a known serial, publish the product to WooCommerce, place an online order and confirm that the correct stock status returns to the retail system. Repeat the process with a shop sale, an online cancellation, a partial shipment and a return.

Pay attention to timing. A customer in Adelaide may buy a product online while a staff member in a Sydney store is serving another customer. If synchronisation runs every 15 minutes, the business needs a rule for temporary holds and a buffer for fast-selling stock. The test should also check failed connections, duplicate imports and orders containing multiple serialized items.

A documented test script for order synchronization testing can help teams verify each hand-off. Include Australian scenarios such as GST-inclusive pricing, Australia Post tracking, click-and-collect and an interstate return. Testing during a quiet weekday is useful, but a short controlled trial during a busy trading period can expose realistic timing problems.

Compare Allocation Approaches

There are several valid ways to connect serial tracking with online selling. The best choice depends on product value, order volume, warehouse discipline and the capabilities of the Counterpoint-WooCommerce connector. A low-cost method may suit a small regional retailer, while a multi-store operation may need automated allocation and exception queues.

Approach How It Works Strengths Risks
Quantity-only sync WooCommerce receives an available quantity; staff assign the serial later Simple and inexpensive A specific unit may be unavailable or misidentified
Counterpoint allocation The retail system assigns the serial after importing the order Keeps serial authority in Counterpoint Dispatch may wait for allocation
Checkout serial capture The customer or staff member selects a serial during purchase Immediate item-level visibility Serial data may be exposed or entered incorrectly
Fulfilment scan Staff scan the unit when picking and send the result to both systems Strong warehouse control Requires compatible scanners and connector logic
Manual exception process Normal orders sync automatically; unusual cases are reviewed Flexible for repairs, bundles and exchanges Depends on trained staff and timely review

For many Australian small and medium retailers, Counterpoint allocation combined with a fulfilment scan offers a sensible balance. It keeps the back office as the source of truth while giving the warehouse a physical verification step. The process should be written down in plain language so a new team member can follow it during a busy Saturday.

Build Daily Controls And Exceptions

Automation reduces keystrokes, but it does not remove the need for operational checks. Assign one person to review mismatches each day, especially during the first weeks after launch. The review should cover orders stuck in transmission, duplicate serials, products with negative availability, cancelled orders still holding stock and returns without a recognised original sale.

Useful operating recommendations include:

  • Scan serial numbers at receiving and final dispatch whenever possible.
  • Keep Counterpoint as the master record for serial ownership and status.
  • Hold a small safety buffer for popular online products during busy periods.
  • Add serial and warranty details to packing documentation without publishing them unnecessarily.
  • Reconcile WooCommerce orders against Counterpoint sales at least daily.
  • Define an approval path for exchanges, repairs, write-offs and missing units.
  • Train store, warehouse and customer service staff on the same status vocabulary.

A clear exception process matters in Australia because delivery distances can be substantial. A parcel travelling from Darwin to Melbourne may spend several days in transit, and a unit marked sold too early can distort availability for the entire period. Staff should know whether to use Held, In Transit or Sold while the item is moving.

Protect Data During The Transition

Moving away from NCR Retail Online is more than changing the storefront. Export the existing product catalogue, transaction history, serial registers and customer-related data in a usable format, then decide what needs to be migrated into Counterpoint or retained in an archive. Keep an audit record of any transformations, such as changed SKU formats or merged products.

Access controls should reflect job responsibilities. Warehouse staff may need to scan and update fulfilment status, while only managers should be able to edit a serial number or write off a high-value item. Use strong administrator credentials, update extensions and payment components, and restrict integration keys to the permissions they require.

Plan for ordinary interruptions. If the connector or internet connection fails, staff need a documented offline procedure, including how to reserve stock and how to enter transactions once service returns. Never allow a spreadsheet maintained by several people to become an unofficial second inventory system without ownership, version control and reconciliation.

What Reliable Control Looks Like

A successful Counterpoint and WooCommerce arrangement makes every unit easy to locate in the system and in the real world. Counterpoint records where the item came from and what happened to it; WooCommerce presents sellable stock and captures the customer order; the connector moves information between them without creating hidden gaps.

Review the process after the first month, then after major seasonal events such as Christmas and end-of-financial-year sales. Check return rates, allocation delays, stock discrepancies and staff workarounds. The aim is a workflow that remains accurate when a customer orders online, collects from a shop, changes their mind and sends the item back from another state.

The key thing to remember is that serialized inventory is an item-level chain of custody: clean records, deliberate allocation, tested synchronisation and disciplined exception handling keep Counterpoint and WooCommerce telling the same story.

After you have completed your move to a new eCommerce platform, don’t forget to submit the Store Closure Request form to close your NRO site and cancel your billing subscription.
