We have been analyzing the NCR Retail Online (NRO) business and our NCR Industry Solutions Board, an internal team that helps set strategy, has decided to set the NRO product to End of Life on March 31, 2018 . The CPOnline Product was also recently announced with an end of life date of September 30th, 2017 . The End of Life terms indicate that all current customers will need to be transitioned off their respective product and the servers turned off by 9/30/17 (CPO) & 3/31/18 (NRO) . Your NCR Counterpoint business partner has been notified of this decision in advance and has started taking steps to help you transition your eCommerce solution.

Rebuilding NCR Retail Online Email Templates After Migration

Australian retailers who built customer journeys around NCR Retail Online now face the practical task of recreating automated email templates on a new platform. When the software was discontinued, the triggers, merge fields and design blocks that once fired off order confirmations or back-in-stock alerts stopped working alongside it. Many merchants in Sydney, Melbourne and Brisbane had spent years refining those messages, so the migration is less about starting over and more about translating familiar workflows into Magento or WooCommerce through an NCR Counterpoint partner.

The good news is that most transactional and marketing emails can be rebuilt within a working week if you plan carefully. Order receipts, shipping notifications, abandoned cart reminders, review requests and loyalty point statements each follow a predictable pattern that maps neatly onto extension-based template engines. What catches people out is the local layer: Australian Consumer Law wording, GST line items and the Spam Act 2003 consent rules all need attention before a single email goes out.

Why NCR Retail Online Templates Stop Working

The discontinuation removed the hosted service that handled SMTP delivery, suppression lists and trigger logic for product, gift and order-based messages. Templates that referenced store-specific collections such as gift basket collections were powered by the old backend, so the rendered HTML and dynamic tokens have nowhere to point on the new stack. Even static images hosted on the legacy content delivery network may resolve to broken links once the platform is decommissioned.

On a deeper level, the automation rules that watched for events like "order shipped" or "customer subscribed to back-in-stock alerts" lived inside the old application. Without that event bus, your new storefront has no instruction set telling it when to send a particular email. Recreating the message body is only half the job; you also have to redefine the conditions under which each template fires.

Mapping Out Your Existing Automated Messages

Before touching any code, open your inbox and walk through what you actually receive from competitors and your own past stores. Make a spreadsheet with one row per template, columns for trigger event, recipient, subject line preview, key variables and any attachments. Australian retailers often run Click & Collect across multiple stores in suburbs like Parramatta or Chatswood, so pickup-location variables deserve their own column.

Pull a copy of the source files if you still have access to a backup. Even partially corrupted HTML gives you the design skeleton. Map one old trigger to one new automation in writing before configuring anything. This avoids the common mistake of double-sending when both platforms remain live during cutover. Run the legacy system in read-only mode for at least forty-eight hours after the new templates go live so you can compare delivery logs and confirm that nothing is duplicated.

Replicating Order Confirmations and Shipping Notices

The order confirmation is the most legally sensitive template because it is the moment the consumer contract is formed under Australian Consumer Law. Make sure the new template includes the full legal entity name, ABN, GST line, total paid, delivery address and a clear description of the goods. If you sell homewares such as serving pieces that ship in multiple cartons, list each carton separately so customers can see they have received everything.

For shipping notices, integrate with Australia Post, StarTrack or Sendle at the API level rather than relying on carrier-issued emails alone. Customers who buy in regional South Australia or Western Australia expect tracking links that work with their local courier apps. Including the carrier name in the subject line, for example "Your Australia Post order has shipped", reduces support tickets noticeably.

Handling Australian Compliance in Your Templates

Every marketing email needs a functioning unsubscribe link that processes requests within five business days, as required by the Spam Act 2003 and the broader ACMA register of rules. Place the unsubscribe in the footer, not buried in a header image, and ensure the opt-out page actually removes the address from your sending list rather than just flagging it. Transactional templates must avoid promotional language; a pure receipt should not contain a "shop our latest sale" banner or it risks being treated as marketing.

GST presentation is another trap. The total should show the GST-inclusive amount clearly, with the GST component broken out for business buyers who claim input tax credits. Including the phrase "Total includes GST" above the order summary satisfies the Tax Office expectation without cluttering the receipt for retail customers who do not need the breakdown.

Personalisation Tokens and Customer Data Imports

Migrating customer accounts is the unglamorous half of the rebuild, and it deserves a checklist of its own. Review the account migration walkthrough to confirm your hashing method and consent flags survive the move. Old passwords hashed with an unsupported algorithm should be reset rather than carried across, because forcing a re-login is preferable to storing credentials in a brittle format.

Once the accounts are in place, your templates can resume personalising with first name, last order date, store credit balance and wishlist contents. These tokens rely on the new platform's customer schema matching the old one, so test each token with three sample customers before sending anything to a real list. A broken merge field shows up as a literal placeholder, for example %%first_name%%, and is the fastest way to lose trust in a freshly migrated store.

Testing Templates Before You Go Live

Treat the new template set as a regulated release. Send each message to internal seed addresses at three different mailbox services, including BigPond, Gmail and Outlook, to catch spam-folder placement issues. Render test copies in both desktop Outlook and the default iOS Mail app, because Australian shoppers on iPhones make up the majority of mobile opens. Check that the preview text, the short snippet that appears after the subject, is not left blank or filled with "Array".

Run a full sandbox order from start to finish: add to cart, checkout, payment, fulfilment, shipping and delivery confirmation. Watch for missing events, duplicate sends or stray references to NCR Retail Online in the footer copyright line. Once the sandbox order produces a clean sequence, schedule the cutover for a low-traffic window such as a Tuesday morning outside of school holiday periods in New South Wales and Victoria.

Practical Recommendations for the Rebuild

  • Audit every NCR Retail Online template before decommission day and store copies in a shared drive with version numbers.
  • Decide transactional versus marketing status for each template and document the legal basis in a single spreadsheet.
  • Build the new templates in a staging environment that mirrors production DNS, SPF, DKIM and DMARC records.
  • Migrate customer accounts in batches of five thousand or fewer to keep API timeouts manageable.
  • Reconfirm marketing consent on the first email sent from the new platform, even for legacy subscribers.
  • Keep the old platform running in read-only mode for at least one full trading week after cutover.
  • Schedule a quarterly review of templates to catch broken images as product catalogues evolve.

Run the new template set in a staging environment for two full trading weeks, then cut over during a low-traffic Tuesday morning in your least busy store region before scaling the rollout to the rest of the national network.
