We have been analyzing the NCR Retail Online (NRO) business and our NCR Industry Solutions Board, an internal team that helps set strategy, has decided to set the NRO product to End of Life on March 31, 2018 . The CPOnline Product was also recently announced with an end of life date of September 30th, 2017 . The End of Life terms indicate that all current customers will need to be transitioned off their respective product and the servers turned off by 9/30/17 (CPO) & 3/31/18 (NRO) . Your NCR Counterpoint business partner has been notified of this decision in advance and has started taking steps to help you transition your eCommerce solution.

How to Train Your Team on Magento’s Admin Interface After NCR

Moving from NCR Retail Online or an NCR Counterpoint-connected ecommerce setup to Magento changes how employees manage products, orders, customers, and online merchandising. The transition is more than a software replacement: staff must learn new terminology, navigation patterns, permissions, and daily routines.

A well-planned training program reduces errors during migration and gives employees confidence before the new storefront becomes the main sales channel. The best approach combines guided demonstrations, realistic practice, written procedures, and a gradual move from supervised work to independent administration.

Magento can support complex catalogs, multiple customer groups, promotions, and integrations. Those capabilities are valuable for retailers, including businesses with specialized ranges such as wine and spirits, but they also mean that every team member needs clearly defined responsibilities.

Map Existing Responsibilities To Magento Roles

Begin by documenting what employees do in the current system. A store manager may approve products and review sales reports, while a buyer maintains pricing and a fulfillment employee processes shipments. These responsibilities should be mapped to Magento users and roles before training begins.

Magento’s permissions system allows administrators to restrict access by function. A merchandising employee may need catalog and promotion access but not configuration controls. An order specialist may work with sales and customer records without being able to alter payment settings. Limiting access makes the interface less intimidating and reduces the risk of accidental changes.

Create a simple responsibility matrix for the migration team. Include the task, the employee or department responsible, the Magento menu used, and the approval required. This document becomes a training guide and a reference when staff encounter an unfamiliar workflow.

Teach The Interface In Practical Sequences

Avoid presenting every Magento menu in a single session. Employees retain more when the admin panel is taught through a complete business process, such as adding a product, setting its price, assigning an image, checking stock, and reviewing it on the storefront.

Start with the dashboard, navigation menu, search functions, grids, filters, and saved views. Explain that many Magento screens use similar controls, so learning how to filter a product or order grid can save time across several departments. Demonstrate how to identify unsaved changes and how to recognize validation warnings.

Use a training environment containing representative products and sample orders. A retailer should include simple products, configurable products, products with variations, discontinued items, and products that require special shipping or age-related checks. Employees learn faster when examples resemble the merchandise they handle every day.

Build A Consistent Catalog Management Routine

Catalog accuracy should be a central part of Magento training. Show staff how to create and edit products, assign categories, write search-friendly descriptions, manage images, set tax classes, and configure stock status. Explain which fields are customer-facing and which affect fulfillment or reporting.

If the previous NCR workflow synchronized inventory with store operations, staff must understand where Magento receives stock information and which system remains authoritative. Training should cover stock adjustments, out-of-stock behavior, backorders, and the timing of synchronization. Employees should never be encouraged to make manual corrections without knowing how those changes interact with the retail system.

Use a product checklist for every catalog update. It can require a name, SKU, price, tax setting, category, image, inventory value, visibility setting, and storefront preview. A checklist is especially useful during the early weeks after launch, when employees are still learning Magento terminology.

Daily task Magento area Main user Practice objective
Add or edit merchandise Catalog and Products Buyer or merchandiser Create accurate product records
Review stock levels Catalog inventory tools Inventory specialist Identify shortages and synchronization issues
Process purchases Sales and Orders Order team Update status, shipment, and customer notes
Manage discounts Marketing and cart rules Manager or marketer Apply promotions without affecting unrelated products
Check performance Reports and dashboards Store manager Interpret sales and operational activity

Rehearse Orders, Customers, And Fulfillment

Order management deserves its own training track because mistakes can affect payment, customer communication, and delivery. Walk employees through the complete order lifecycle: locating an order, reviewing payment status, adding an internal note, creating an invoice, preparing a shipment, issuing a credit memo, and handling a cancellation.

Use simulated cases rather than demonstrations alone. Give employees an order with an address correction, a partial shipment, a refund request, or an item that became unavailable. They should practice finding the relevant information and escalating the issue according to company policy.

Customer records also require careful instruction. Staff should know which data they can edit, how guest orders differ from registered accounts, and when customer information must remain restricted. Explain the difference between an internal note and a message visible to the customer so that private operational details are not sent accidentally.

Fulfillment teams benefit from clearly defined status rules. For example, “processing,” “complete,” and “closed” should each have a documented meaning. Connecting these labels to warehouse actions prevents employees from using statuses as informal reminders.

Train Teams Around Integration And Data Controls

Magento training after NCR should include the systems surrounding the admin panel. If product, customer, order, or inventory data moves between Magento and Counterpoint or another retail platform, employees need to know what is synchronized, how often it occurs, and what to do when records do not match.

A useful reference is this guide to syncing inventory with APIs, which illustrates the kind of integration thinking teams need during a platform transition. The exact connection may differ in a Magento implementation, but the principles remain important: define the source of truth, monitor transfer results, and keep an exception process.

Teach staff to distinguish a Magento issue from an integration issue. A missing product may result from an unpublished catalog record, an incorrect SKU, a failed data transfer, or a delayed index. Employees should capture the SKU, timestamp, error message, and affected system before escalating the incident.

Security belongs in the same training module. Cover individual logins, strong passwords, two-factor authentication, approved browsers, session timeouts, and restrictions on exporting customer data. Administrators should also understand that extensions and configuration changes require controlled review.

Measure Skills With Hands-On Assessments

Attendance does not prove that employees can operate Magento correctly. After each training module, use short practical assessments. Ask a merchandiser to create a product, an order specialist to process a return, and a manager to locate a sales report and explain the result.

Assessments should reward accurate judgment, not speed alone. A staff member who pauses to verify a stock discrepancy is demonstrating a valuable control. Record common mistakes and use them to improve job aids, rather than treating every error as an individual failure.

A staged rollout provides another useful checkpoint. Begin with a small group of trained users, then expand access after catalog, order, and integration workflows have been tested. Keep the legacy system available in a controlled, read-only capacity when possible so employees can verify historical information without continuing to operate two live processes.

Recommended Training Materials

  • A role-based Magento quick-reference guide with screenshots and approved procedures
  • A sandbox containing realistic products, customers, orders, promotions, and inventory exceptions
  • A migration checklist covering data validation, permissions, integrations, and launch readiness
  • Short video demonstrations for recurring tasks such as product updates and order refunds
  • An escalation log that records technical issues, business impact, ownership, and resolution

Support Adoption After The First Launch

The first weeks after launch reveal gaps that classroom sessions cannot predict. Schedule brief office hours where employees can bring real issues, review recent mistakes, and practice the workflows that cause the most confusion. Keep the sessions focused on current operations rather than repeating the entire course.

Appoint a Magento champion in each department. This person does not need to be the most technical employee; they need enough experience to answer routine questions, reinforce approved processes, and identify issues that require administrator or partner support.

Review admin activity, order corrections, catalog errors, and integration alerts at regular intervals. Patterns can reveal a missing permission, an unclear instruction, or a workflow that does not match store operations. Update the knowledge base whenever a process changes, especially after an extension, theme, or integration is introduced.

A successful transition from NCR depends on treating training as an operational program rather than a one-time software demonstration. Build role-specific practice into the migration schedule, validate each workflow with real retail scenarios, and give employees dependable support as they gain independence. Begin with a sandbox, assign the first training cohort, and move each department into Magento only after it can complete its core tasks accurately.

After you have completed your move to a new eCommerce platform, don’t forget to submit the Store Closure Request form to close your NRO site and cancel your billing subscription.
