Integrating ecommerce with your existing accounting software

Moving to a new ecommerce platform is more than a storefront redesign. The new system must communicate reliably with accounting software, payment providers, inventory tools, tax services, and the operational systems that keep orders moving. When these connections are planned carefully, online sales can flow into financial records without creating duplicate work or expensive reconciliation problems.

This is especially important for retailers transitioning from NCR Retail Online, which has been discontinued. NCR Counterpoint partners can help customers move to alternatives such as Magento or WooCommerce, but the technology change should be treated as a business-process migration as well as a website project.

Accounting integration determines how sales, refunds, shipping charges, discounts, taxes, payment fees, and product costs are recorded. A platform that looks impressive to shoppers may still create accounting complications if its data structure does not match the company’s existing chart of accounts or inventory valuation method.

Start with a map of your current systems

Before selecting connectors or configuring application programming interfaces, document how information currently travels through the business. Identify the ecommerce platform, point-of-sale system, accounting package, payment gateways, shipping tools, tax engine, warehouse software, and customer relationship systems. For each application, record the data it owns and the data it receives.

The most useful exercise is to follow a single transaction from beginning to end. Track a product from catalog creation to purchase, payment authorization, fulfillment, shipment, refund, and financial reconciliation. This reveals where product identifiers, customer details, tax codes, and payment statuses may be changed or lost.

A clean migration also depends on reliable source data. Before exporting, remove discontinued products, correct inconsistent SKUs, standardize customer records, and review category assignments. The guide on exporting product data can support the catalog preparation stage for retailers leaving NCR Retail Online.

Choose the right integration pattern

There are several ways to connect a web store with accounting software. A native integration is built into the ecommerce platform and usually offers straightforward setup for common accounting applications. It may be sufficient for smaller retailers with uncomplicated tax, inventory, and fulfillment requirements.

A connector or middleware service provides a translation layer between systems. This approach is useful when the store and accounting package use different field names, when multiple sales channels must be consolidated, or when orders need approval before they enter the ledger. Middleware can also apply rules, such as posting online revenue to a specific department or separating marketplace sales from direct website sales.

Custom API development offers the greatest flexibility, but it also creates long-term maintenance responsibilities. Changes to authentication, data formats, platform versions, or accounting policies can require additional development. The best option is the one that fits transaction volume, internal technical skills, reporting needs, and the cost of correcting errors manually.

Define the financial data that must synchronize

The integration should have a written field-mapping document before anyone turns on live synchronization. This document explains how each ecommerce value becomes an accounting value. For example, a website SKU may map to an inventory item number, while a product category may determine the revenue account used in the general ledger.

Decide whether the accounting system will receive individual orders, daily summaries, or settlement-level entries. Individual order posting provides detailed visibility but can produce a large volume of transactions. Daily or payout-based summaries are easier to manage, although they require supporting reports for order-level research.

Data area Ecommerce source Accounting destination Key decision
Product SKU Store catalog Item or inventory record Which system controls item creation?
Sales revenue Order lines Income accounts Will categories map to separate accounts?
Sales tax Tax calculation service Tax liability accounts Which jurisdiction owns the final calculation?
Discounts Promotion or order record Discount account Are discounts recorded per line or per order?
Shipping income Checkout shipping charge Freight or revenue account Is shipping income separated from shipping cost?
Payment fees Gateway settlement report Merchant fee expense How are fees matched to deposits?
Refunds Return or credit transaction Refund and inventory accounts How are partial refunds and exchanges handled?

Inventory synchronization deserves particular attention. If the ecommerce platform shows available stock while the accounting or point-of-sale system holds the authoritative quantity, customers may purchase products that are no longer available. Establish one inventory master, define update timing, and decide how reserved, damaged, returned, and in-transit units will be represented.

Protect tax, payment, and customer records

Tax configuration should be tested with several combinations of product type, customer location, shipping destination, exemption status, and discount. The system must distinguish between tax calculated at checkout and tax recorded after an order is edited. A mismatch can leave the business with incorrect liabilities even when the order total appears correct to the customer.

Payment reconciliation is another frequent source of confusion. The amount deposited by a gateway may differ from the gross order value because of processing fees, refunds, chargebacks, and timing differences. Build a process that matches gateway settlements with ecommerce orders and accounting entries. Without that step, the bank statement may balance while individual sales remain difficult to verify.

Customer data requires sensible limits and strong security controls. Send the accounting system only the information needed for invoicing, credit management, reporting, or compliance. Use encrypted connections, restricted credentials, audit logs, and multi-factor authentication where available. A retailer reviewing broader operational and security considerations may also find additional platform information useful during its transition research.

Test the connection before going live

Testing should take place in a sandbox or controlled environment, not after the first real order arrives. Create scenarios for a normal purchase, a mixed-tax order, a coupon, a partial shipment, a split payment, a cancellation, a full refund, a partial refund, an exchange, and an order that is edited after payment.

Compare the source transaction with the accounting result line by line. Check the customer, SKU, quantity, price, discount, tax, shipping, payment status, and ledger account. Then verify inventory movement and confirm that the transaction appears correctly in financial reports.

A pilot launch is safer than an immediate full switch. Begin with a limited product range or a small percentage of orders while the existing process remains available for comparison. Assign named owners to investigate failures, document resolutions, and approve the move to full production.

Create dependable processes for daily operations

Successful integration is maintained through operating procedures, not just software configuration. Staff should know which system is responsible for product creation, price changes, refunds, customer edits, purchase orders, and inventory adjustments. Conflicting updates from several systems can quickly undermine otherwise sound synchronization.

Set a reconciliation schedule based on transaction volume. Daily checks may include order counts, payment totals, tax totals, refunds, and inventory exceptions. Weekly or monthly checks can compare gateway settlements, bank deposits, sales reports, and general ledger balances. Record exceptions in a shared log so recurring issues can be identified and fixed at their source.

Retailers moving from NCR Retail Online should also preserve historical records before switching platforms. Keep exports, invoices, customer service records, tax reports, and inventory documentation in a secure archive. Information about available site resources may help organize transition-related research, but accounting retention requirements should be confirmed with the company’s finance adviser.

Recommendations for a controlled migration

A practical transition plan should balance speed with financial accuracy. Use these steps to keep the implementation focused:

  • Assign one owner for ecommerce data and another for accounting reconciliation.
  • Define the inventory master, product identifiers, tax rules, and chart-of-accounts mappings before configuration.
  • Test refunds, chargebacks, discounts, partial shipments, and payment fees rather than testing only standard orders.
  • Run a controlled pilot and compare results with the previous workflow.
  • Schedule ongoing monitoring, credential reviews, backups, and connector updates after launch.

The integration should be judged by the quality of its records, not simply by whether an order appears in the accounting application. Clear ownership, traceable mappings, secure data handling, and repeatable reconciliation give finance and operations teams confidence that the new storefront is producing dependable information.

Begin by mapping the current order-to-ledger process, prepare clean product and customer data, and involve your NCR Counterpoint partner or implementation specialist early. With careful testing and documented controls, a move to Magento, WooCommerce, or another ecommerce platform can preserve accounting accuracy while creating a stronger foundation for online growth.
