We have been analyzing the NCR Retail Online (NRO) business and our NCR Industry Solutions Board, an internal team that helps set strategy, has decided to set the NRO product to End of Life on March 31, 2018 . The CPOnline Product was also recently announced with an end of life date of September 30th, 2017 . The End of Life terms indicate that all current customers will need to be transitioned off their respective product and the servers turned off by 9/30/17 (CPO) & 3/31/18 (NRO) . Your NCR Counterpoint business partner has been notified of this decision in advance and has started taking steps to help you transition your eCommerce solution.

Managing NCR serial number tracking for returns in MagentoMany Australian retailers still rely on NCR Counterpoint as the operational heart of stores, warehouses and stock control, even when customer shopping moves to Magento. The difficult transition is not the storefront itself. It is preserving the identity and history of each serialised item when a customer brings it back. A serial number identifies an exact unit, while a SKU identifies a product type. That distinction matters for laptops, phones, appliances and other high-value goods. A Magento return must reconnect the serial to the original sale, NCR stock record and reason for return. Without that chain, units can be duplicated, stranded, sold twice or wrongly restored to saleable stock. NCR Retail Online has been discontinued, so retailers are moving toward alternatives such as Magento and WooCommerce through NCR Counterpoint partners. The change affects Australian businesses that combine physical stores, click-and-collect, marketplaces and parcel couriers, often with different teams handling each channel. A controlled hand-off matters more than a one-time export. Magento can own the customer-facing return journey, while a defined integration keeps inventory, financial records and audit history aligned with NCR. That division of responsibility should be established before data is moved. Preserve the serial number chainStart with a data map that defines the source of truth for each field. Product type, barcode, serial number, location, condition, sale status and write-off reason must remain distinct. Preserve NCR’s original identifiers where possible and add a migration key so historical records can be matched without rewriting them. Model each return as a lifecycle: requested, approved, received, inspected, quarantined, returned to vendor, restored to sellable stock or written off. Every transition needs a timestamp, actor and reason. A faulty serial should not immediately re-enter available Magento stock simply because the customer selected “unopened”; inspection evidence and an NCR stock update must confirm its condition. Reconcile records before launch by comparing serialised inventory, open orders, units in transit and historical returns. Sample records across Sydney, Melbourne and Brisbane stores, then trace selected serials from sale to return. NCR’s backend migration guidance can help maintain store operations while this reconciliation and cut-over work proceeds. Design a controlled return journeyThe customer process should remain straightforward: locate the order, select the item and reason, provide or verify the serial, attach a receipt or photographs, then choose refund, store credit or return location. Magento should create a return record linked to both the sales order and the inventory item. Store staff also need a route for walk-in returns, including immediate scanning of the serial at the counter. The platform must validate rather than trust customer-entered data. Check that the serial belonged to the original transaction, is not already active in another return, and is eligible for the retailer’s policy. The integration should reject incorrect, duplicate or unknown serials into an exception queue for staff review. Approved returns should receive a return reference that can be printed, emailed and searched from either Magento or NCR. Australian consumer rights need to shape the workflow. Under the Australian Consumer Law, faulty goods must meet guarantees regardless of a retailer’s change-of-mind policy. Many stores voluntarily offer a 30-day change-of-mind window, but that is a business policy rather than a universal statutory cooling-off period. Magento should record the relevant reason and policy version, while refunds correctly reflect the GST-inclusive amount paid. The multi-channel selling effects of NCR Retail Online’s discontinuation make consistent serial handling especially important. Build a resilient integration layerUse a secure API or middleware layer instead of allowing a Magento extension to query an NCR database directly. Each request should carry a unique return or event identifier, making retries safe and preventing a delayed response from creating a second return. Timeouts, unavailable services and rejected records should enter visible queues rather than disappear into extension logs. Counterpoint and Magento use different structures for orders, customers, stock and payment records. Map them through defined transformations instead of assuming identical field names or identifiers. The API-first migration guidance explains why modular, service-based architecture can reduce disruption when one component changes or reaches end of support. Run scheduled reconciliation between the platforms. Compare accepted returns, received stock, quarantined units, refunds and available inventory, then alert staff to differences. Store event timestamps in UTC while displaying them in the relevant Australian local time, including daylight-saving changes in NSW and Victoria. This creates one reliable event history even when stores and warehouses operate across different time zones. Protect stock and sensitive customer dataSerialised returns can attract fraud involving swapped products, duplicated claims or invented serial numbers. Match the serial against the original sale, ask for photographic evidence where appropriate, and record the person or system approving each exception. High-value items may also require identity checks, but staff should see only the information needed to process that return. These controls protect genuine customers from being unfairly suspected. Protect integration credentials with encryption, restricted access and detailed audit logs. Administrators should be able to see who changed a serial status, reversed a credit note or altered a stock condition, while routine staff should have only the permissions their role requires. Magento implementations must also maintain appropriate PCI DSS controls; card details should remain in compliant payment systems rather than being copied into return or support notes. Collect the least personal information possible and apply relevant Australian privacy requirements. Depending on turnover, activities and jurisdiction, the Privacy Act 1988, Australian Privacy Principles or state and territory privacy laws may apply. Define retention periods for receipts, identification, images and correspondence, and securely delete them when no longer required. A customer’s return history should remain connected to the correct serial without exposing another person’s purchase details. Migrate, test and keep ownership clearChoose a migration route that preserves the distinction between historical NCR data and live Magento operations. Some retailers will remain on Counterpoint during a staged transition, while others will move to a platform built around Magento or WooCommerce. For specialist Magento development work, Magento development support can complement internal IT and NCR Counterpoint partners. Whichever route is selected, assign named owners for data, integrations, refunds, security and customer support. Test realistic return scenarios, including a faulty serial, a change-of-mind request, an incorrect product, a unit received at a different store, a courier delay and a customer who reports the same serial twice. Include offline counter activity, slow connections, interrupted migrations and rejected refunds. Test data should include serials created before the cut-over as well as units sold through click-and-collect and Australian marketplaces. Operate the two systems in parallel for an agreed period. Compare daily totals and investigate every discrepancy before declaring the migration complete. Provide counter staff with a short procedure for uncertain serials, while support teams receive a searchable view of events from both platforms. Record configuration changes, publish a fallback process for outages, and review unmatched records until their volume reaches zero. Once the new process is stable, archive the historical mapping and audit trail according to tax, accounting and privacy requirements. Keep responsibilities clear between retail operations, warehouse teams, ecommerce managers and IT. The thing to remember is that every returned serial needs one authoritative history, from the original NCR transaction through inspection to the final Magento stock decision. |
