We have been analyzing the NCR Retail Online (NRO) business and our NCR Industry Solutions Board, an internal team that helps set strategy, has decided to set the NRO product to End of Life on March 31, 2018 . The CPOnline Product was also recently announced with an end of life date of September 30th, 2017 . The End of Life terms indicate that all current customers will need to be transitioned off their respective product and the servers turned off by 9/30/17 (CPO) & 3/31/18 (NRO) . Your NCR Counterpoint business partner has been notified of this decision in advance and has started taking steps to help you transition your eCommerce solution.

Migrating Order History and Invoices from NCR to a New SystemWhen NCR Retail Online was discontinued, retailers had to move their ecommerce operations to another platform while preserving the records that support customer service, accounting, and compliance. Order history and invoices deserve particular attention because they contain more than product names and totals. They connect customers, payments, fulfillment events, taxes, refunds, and financial reporting. A successful migration preserves the meaning of historical data, even when the destination system uses different fields or workflows. Magento and WooCommerce are common alternatives available through NCR Counterpoint partners, but each requires careful preparation before records can be imported or archived. The best approach is to treat the project as a controlled data transition rather than a simple export. Begin with an inventory of the source data, establish a retention policy, map fields to the new platform, and validate the result against trusted business records. Why Historical Records MatterPast orders help support teams answer questions about shipments, returns, warranties, discounts, and payment disputes. If a customer bought an item several years ago, staff should still be able to identify the buyer, transaction date, products, quantities, and fulfillment status. A clean archive can prevent employees from searching through disconnected spreadsheets or old administrator accounts. Invoices also have an accounting function. Depending on local rules and company policy, your business may need to retain invoice numbers, issue dates, tax details, billing information, currency, payment references, and adjustments. The new ecommerce platform may store these details differently from NCR Retail Online, so copying visible order data alone may leave important financial information behind. Product history can be especially useful for retailers with changing catalogs. An old order may refer to a discontinued shoe style, an archived SKU, or a variation no longer sold online. For example, a retailer reviewing its historical catalog may need to distinguish between product pages such as men’s shoes and the actual SKU recorded on an older invoice. Audit The NCR Data Before ExportingStart by identifying every location where order and invoice information may exist. This can include NCR Retail Online exports, NCR Counterpoint records, payment gateways, shipping applications, accounting software, customer service tools, and manual spreadsheets. Create a source register that records the system owner, date range, file format, and approximate record count. Next, define the exact historical period that must be moved into the new platform. Some businesses import several years of orders for direct customer lookup, while others keep older transactions in a read-only archive and load only recent records into the new store. The decision should reflect legal retention requirements, support needs, storage capacity, and the destination platform’s limitations. Check the source data for duplicates, missing customer email addresses, inconsistent country codes, invalid tax values, and repeated invoice numbers. Keep an untouched copy of every original export. That file is your evidence of what existed before transformation and can help resolve disputes when an import produces unexpected results. Map Orders, Customers, And InvoicesField mapping is the point where a migration becomes a business decision. An NCR order number might map to a destination order ID, while the original value should also be preserved in a dedicated reference field. The same principle applies to invoice numbers, transaction dates, shipment IDs, coupon codes, tax rates, and refund references. Customer records require special care because a single person may appear under several email addresses or billing profiles. Avoid merging accounts solely because names look similar. Use a reliable matching strategy based on email, customer ID, phone number, or verified transaction history, and document any rule used to combine or separate records. Line items should retain the SKU, product description, quantity, unit price, discount, tax, shipping charge, and total. If the destination platform cannot represent a historical transaction exactly, store the original invoice as a PDF or structured archive alongside a simplified order record. This preserves the official document without forcing the new system to reinterpret every legacy detail.
Choose Between Import And ArchiveNot every historical invoice needs to become an active order in the new storefront. An active import is useful when customer service staff need to search records inside the ecommerce administration area, or when returns and loyalty processes depend on previous purchases. It can, however, create complications if the new system treats old orders as current sales. A read-only archive may be better for older transactions. In that model, the business preserves original invoices, export files, and a searchable index while importing only the period required for daily operations. Access controls should prevent archived records from being edited, accidentally refunded, or included in current sales reports. Many retailers use a hybrid model: recent orders are migrated into Magento or WooCommerce, while older invoices remain in a secure document repository. Whichever method you choose, record the relationship between the new order ID and the original NCR reference. That cross-reference gives staff a dependable audit trail. Run A Controlled Migration And ReconciliationPerform a test migration before the production cutover. Use a representative sample containing completed orders, canceled transactions, partial refunds, tax-exempt sales, multiple currencies, guest checkouts, shipping charges, discounts, and orders with several line items. The sample should reflect real operational variety rather than only the easiest records. After importing the test data, compare totals by month, tax category, payment method, and order status. Select individual invoices and verify that customer details, line extensions, discounts, tax, shipping, and grand totals agree with the source. Differences should be explained in a migration log, not silently corrected in the destination system. For production, freeze changes or establish a final export window so new orders are not missed. Generate a checksum or record count for the source files, run the import, and capture logs from the destination platform. Reconcile the final order count and financial totals against NCR and accounting reports before disabling legacy access. Protect Sensitive Information During The MoveOrder history contains personal data, and invoices may include addresses, phone numbers, tax identifiers, and payment references. Use encrypted storage and transfer methods, restrict access to the migration team, and avoid placing full exports in shared folders without appropriate permissions. Payment card numbers and authentication data should not be copied unless a compliant, documented process specifically permits it. Create a retention and deletion schedule for temporary files. Test backups before removing any source exports, and keep a protected master archive according to legal and accounting requirements. Staff should also know where historical records live, who may access them, and how requests for correction or deletion are handled. A platform change can affect more than one storefront. Retailers managing several locations should document shared catalogs, customer accounts, inventory ownership, and order routing before switching systems. Guidance on multi-store management can help frame the operational questions that arise when stores leave the NCR environment. Recommended Migration ControlsUse the following controls to keep the project measurable and auditable:
A written sign-off should identify who approved the mapping, who reviewed the test results, and who authorized the final cutover. Keep the migration log with the archived exports so future staff can understand how historical records moved from NCR Retail Online into the replacement environment. Bring the process together with a phased schedule: assess the data, map fields, test a sample, migrate the approved scope, reconcile the results, and preserve the archive. Working with an NCR Counterpoint partner experienced in Magento or WooCommerce can reduce platform-specific errors while keeping order history and invoice records usable after the transition. Start with a documented data inventory and make preservation of the original transaction trail the central requirement of the new system. |
