We have been analyzing the NCR Retail Online (NRO) business and our NCR Industry Solutions Board, an internal team that helps set strategy, has decided to set the NRO product to End of Life on March 31, 2018 . The CPOnline Product was also recently announced with an end of life date of September 30th, 2017 . The End of Life terms indicate that all current customers will need to be transitioned off their respective product and the servers turned off by 9/30/17 (CPO) & 3/31/18 (NRO) . Your NCR Counterpoint business partner has been notified of this decision in advance and has started taking steps to help you transition your eCommerce solution.

Using Counterpoint Batch Numbers to Track Expiring Inventory Online

Online retailers need more than a total stock figure when products have limited shelf lives. A warehouse may show 240 units available, yet those units can belong to several batches with different expiry dates. Without that detail, older stock can remain hidden while newer stock is sold first, creating waste, markdowns and unhappy customers.

Counterpoint batch numbers provide a practical way to connect product-level inventory with receiving, storage and online fulfilment. When batch information is carried into the ecommerce workflow, staff can identify which stock should ship first, restrict unsuitable units and give customers more accurate availability information. This is particularly useful for Australian businesses operating across several states, warehouses or retail locations.

Why Batch-Level Visibility Matters

A standard SKU count answers how many units exist, but it does not explain their condition or urgency. Batch tracking adds a second layer of information: when goods arrived, which supplier produced them, where they are stored and when they expire. That record supports stock rotation for food, cosmetics, supplements, pet products, medical supplies and selected automotive goods.

Expiry control also protects margins. If a retailer spots a batch with six weeks remaining, it can promote the affected units, allocate them to a nearby store or adjust purchasing before the goods become unsaleable. In Australia, long freight routes between Melbourne, Brisbane and Perth make this planning especially important. Inventory that looks healthy nationally may be too close to expiry by the time it reaches a remote customer.

Online shoppers expect available products to be fit for use when delivered. A customer in regional New South Wales may wait several days for freight, while a customer in Darwin can face different delivery conditions during the wet season. Batch-aware fulfilment helps the business avoid sending stock that has an unsuitable remaining shelf life.

Set Up Reliable Batch Records

Begin with a consistent data model in Counterpoint. Each relevant item should have a clear SKU, batch or lot number, receipt date, expiry date and quantity. If the supplier uses a production code that does not contain an obvious date, record the actual expiry separately rather than asking staff to interpret the code manually.

Decide which products require batch control and document the rule. A vitamin retailer may track every bottle, while a hardware store may apply it only to adhesives, sealants or chemical products. Automotive businesses often need a different approach for oils, batteries and specialist fluids; the automotive range illustrates the type of category where product compatibility and shelf condition can matter alongside quantity.

Receiving procedures are the foundation of accurate records. Staff should scan or enter the batch number at the time goods arrive, verify the supplier paperwork and record damaged or short-dated units separately. If a delivery contains three batches of the same item, do not combine them simply because they share a SKU. That shortcut removes the information needed for later stock rotation.

Synchronise Batch Data With Ecommerce

The online catalogue should receive more than a single available quantity when expiry-sensitive goods are sold. Depending on the ecommerce connector, the storefront may display a combined stock figure while Counterpoint remains the operational source for batch details. The important requirement is that an order reserves the correct physical units and that the reservation is reflected promptly in both systems.

Because NCR Retail Online has been discontinued, businesses moving to another storefront should map batch fields during migration rather than treating them as optional historical data. A Magento migration guide can help frame the broader transition, while Counterpoint partners can confirm which lot, warehouse and fulfilment fields are supported by the selected integration.

Test the connection with realistic scenarios. Create two batches for one SKU, place an online order, cancel it, split the order across locations and process a return. Check whether the reserved quantity is released correctly, whether the picked batch is recorded and whether an adjustment in Counterpoint reaches the storefront. A successful product import proves very little if the transaction flow loses batch identity.

Product content can support the process as well. For goods where customers need to understand packaging, storage or use-by markings, short demonstrations may be valuable; retailers producing such content can use a video conversion tool to prepare compatible media for product pages. The video should explain the item, while the inventory system remains the authority for actual expiry data.

Apply First-Expiry, First-Out Fulfilment

First-expiry, first-out, often shortened to FEFO, prioritises the batch with the nearest valid expiry date. It is more precise than first-in, first-out because an older delivery may have a longer shelf life than a newer delivery. Counterpoint users should configure warehouse procedures so pickers see the required sequence rather than relying on memory.

The pick list should identify the batch to select, not just the SKU and quantity. A worker who sees “six units of product A” may grab the nearest carton, even if another carton expires earlier. Barcode scanning, shelf labels and dedicated locations for short-dated stock can reduce that risk. If a connector cannot pass batch instructions to the picker, a documented manual step is essential.

Set a minimum remaining-life rule for online orders. For example, a business may refuse to ship a chilled product unless it has a defined number of days left on delivery. The exact period depends on the product, transport time and Australian consumer expectations. It should be approved by operations and compliance staff, then applied consistently rather than improvised by individual warehouse workers.

Short-dated inventory can still have commercial value. Offer it through a clearly described promotion, allocate it to local customers who can receive it quickly or transfer it to a store with stronger demand. Do not hide the condition in a discount; product descriptions and customer service teams should communicate any relevant date or storage limitation accurately.

Account For Australian Operations

Australian retailers commonly manage GST-inclusive pricing, multiple time zones and long-distance fulfilment in the same system. A store in Sydney may process an order while a Perth warehouse is still operating in an earlier local time. Batch reservations and cut-off rules should use a consistent system time while displaying delivery estimates in the customer’s location.

Seasonality also affects expiry risk. Sunscreen and outdoor products may sell rapidly before summer, while school-related goods can surge around January and vary between states. Regional events, public holidays and transport disruptions can change how quickly stock moves. A batch dashboard should therefore show both days to expiry and expected demand, rather than treating every item with the same urgency.

For electronics, satellite equipment and specialist retail, batch or serial information may be tied to installation, warranty or compatibility records. A store serving rural Queensland or Western Australia may need to coordinate dispatch with an installer, and a reference such as this satellite setup guide reflects the kind of technical content that can support customer preparation. The inventory workflow still needs to distinguish sellable stock, reserved stock and equipment already assigned to a job.

Returns require special care. A returned item should not automatically return to sellable inventory, particularly where temperature, tampering or packaging damage could affect its remaining life. Record the returned batch, inspect it, and place it into quarantine until an authorised employee decides whether it can be resold, discounted, returned to the supplier or destroyed.

Govern Accuracy And Customer Trust

Create exception reports for batches approaching their minimum-life threshold, batches with no expiry date, negative quantities and stock held in the wrong location. Review these reports at a frequency suited to the category. Fresh goods may require daily attention, while sealed chemical products may be reviewed weekly or monthly.

A useful dashboard compares total stock with stock by batch, days remaining, sales velocity and open orders. It should show whether online availability is overstated because some units are quarantined or too close to expiry. Managers can then make purchasing and promotion decisions from the same operational picture.

Keep an audit trail for changes to expiry dates, quantity adjustments, write-offs and batch transfers. When a supplier issues a recall, the business should be able to locate affected units, identify customers who purchased them and block further sales quickly. Gift cards have a separate migration concern, so retailers changing platforms should preserve balances through a documented process such as gift card balance handling, rather than mixing payment data with product batch records.

Staff training should cover scanning, substitutions, split shipments and exceptions. A system can hold accurate data only when employees follow the same rules at receiving, picking, dispatch, returns and stocktake. Periodic cycle counts by batch are often more effective than waiting for one large annual count to reveal accumulated errors.

Batch numbers become valuable when they guide real decisions: which unit to pick, which stock to promote, which order to hold and which customer to contact. The central principle is simple: preserve batch identity from receiving through online sale, apply FEFO consistently, and keep the storefront aligned with Counterpoint’s operational record.
